Transportation Assistant

Job Description and Requirements

Job Purpose

The Transportation Assistant is responsible for managing the entire transportation operations ensuring the provision of transportation, monitoring vehicle usage and maintenance as well the driver’s performance.

 

Responsibilities & Accountabilities

  • Manage the entire university transport operations as per the set policies and procedures ensuring provision of transportation requirements.
  • Plan, organize and arrange the drivers’ and vehicle schedules, overtime and annual leaves.
  • Ensure documented and proper handing over of vehicles from driver to another driver.
  • Monitor vehicle registration and insurances to ensure expiry is not missed out.
  • Attend to transport requests ensuring all the details of the requirement are complete and coordinated with requestors either by phone and emails.
  • Compile the requests, plan the trips and assign the tasks to the drivers in advance ensuring the provision of transportation is completed on time.
  • Maintain the discipline in the transportation unit and ensure all drivers adhere to safe driving practices including receiving calls for any driving misconduct.
  • Monitor drivers’ roads and traffic regulations compliance and traffic fines incurred by the driver.
  • Monitor each vehicle movement including its repair and maintenance issues.
  • Ensure driver’s do the necessary vehicle maintenance, cleaning and service.
  • File all vehicle related documents such as vehicle insurance, renewals, and maintenance & lease agreements properly.
  • Provide reports on daily, weekly and monthly for all transportation operations that include driver’s tasks, accomplishments and vehicle maintenance checklist.
  • Prepare management reports and submit to the line managers on monthly basis.
  • Optimize the resources and accomplish the given tasks.
  • Extend support to the superiors whenever necessary.
  • Perform any other tasks as assigned by the management.

Required Qualifications & Experience

  • High School or Associate Diploma with good spoken/written English. Arabic is a plus. Minimum 3 years experience.
