Executive Assistant

Job Description and Requirements
  • Managing the MD's calendar, taking into account communicated priorities, potential conflicts, logistical considerations, and multi-calendar integration.
  • Proactively anticipating calendar events such as travel and meeting arrangements as required, including coordinating participants’ availability, venue, catering, and accommodation requirements.
  • Providing daily and weekly briefing planning packs to the MD to keep him well informed of upcoming commitments and responsibilities, 
  • Arranging complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
  • Assisting in coordinating the agenda of senior management team meetings. Recording meeting discussions, preparing an account of the meetings and designates, and following up on assigned action items.
  • Communicating with the general staff on the MD's behalf and coordinating logistics with high-level meetings both internally and externally.
  • Creating and maintaining systems and processes to optimize the MD's productivity and general office operations.
  • Conserving the MD's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Prioritizing conflicting needs; handling matters expeditiously, proactively, and following through on projects to successful completion, often with deadline pressures.
  • Preparing communications and reports for CEO and Boards, including the collection and analysis of information required for drafts.
  • Editing and completing first drafts for written communications to external and internal stake holders


  • To be successful in this dynamic opportunity, we envision that you will bring a minimum of 8 years’ of relevant secretarial experience, of which 5 years have been providing support for upper-level management with a Bachelor degree.
