ABOUT INTERSOS:

INTERSOS is an Italian humanitarian organization that works all over the world bringing assistance to people in danger, including victims of natural disasters and armed conflicts. We intervene to effectively meet the needs of people in crisis, with particular attention to vulnerable groups, women and children. We provide primary assistance in terms of food, shelter, medical assistance and basic goods, while also ensuring that basic needs, education, safe water and health needs are met during the recovery phase.

Since 2012, INTERSOS has had operations in the Middle East to contribute towards ensuring emergency relief and social protection assistance for Syrian refugees fleeing their home in search of safety, with special focus on most vulnerable groups (children, women, elderly and persons with special needs).

In Jordan, INTERSOS has focused its humanitarian response on supporting Syrian families displaced across urban and rural areas, as well as vulnerable host communities, with a programme that concentrates on protection and protection mainstreaming within the different sectors of intervention that compose the Country Strategy (Protection, Child Protection, Education in Emergency, WASH, Shelter and Basic Needs including Cash and Winterization Assistance).

OBJECTIVE OF THE POSITION:

The IT Assistant is responsible in assisting all IT logistics aspects of INTERSOS Mission in Jordan, and in case of needed support from the Logistics Unit, including assets management, maintenance, procurement for the office, storage management and expeditions.

MAIN RESPONSIBILITIES: 

Under the direct supervision of the Logistics Officer, the IT Assistant will be responsible for:

  • Manage the IT logistics aspects of the Amman Office and all Field Offices in Jordan, including the maintenance and upkeep of all  IT and office equipment, in coordination  with  the  Logistics  Unit  and  other  departments  (Administration,  Program, Human Resources); 
  • Check the Jordan Mission IT equipment (computers, rooters, printers, internet software and different devices) regularly and provide support when requested;
  • Purchase and maintain (installations, backups, etc.) the IT equipment for Amman Office and the field offices;
  • Manages network operations including: troubleshooting connectivity problems;
  • Installing & maintaining routers; establishing e-mail; assessing and reporting operational status; performing backups and restores; etc..
  • Performs routine preventive maintenance on hardware and software.
  • Follow up on requests for office maintenance and contact suppliers to solve the issues;
  • In  coordination  with  HR  department,  liaise  with  INTERSOS  HQ  in  opening  and maintaining e-mail addresses, for Amman and the field offices;
  • Liaise  with  INTERSOS  HQ,  in  monitoring  and  supporting  the  “migration”  on  Google platform, and all the related IT improvements implemented by the HQ.
  • Liaise with the HQ in systematizing and finalizing INTERSOS Mission in Jordan Database and data collection systems and methodologies.
  • Responsible  for  the  management  and  implementation  of  IT  procurement and consumables procedures  for INTERSOS Mission in Jordan: the purchase of goods, works and services, following INTERSOS procedures and ensure that they are respected
  • Collect the IT purchase requests from the different departments in Amman Office, and from the different field offices, and follow the relevant procurement procedures;
  • Maintain regular contact with IT suppliers and ensure the quality of the IT goods/services delivered is in line with INTERSOS standards;
  • Prepare and manage the IT storage inventory and movement (in and out) and verify the deliveries;
  • Support the IT procurement of goods and the expeditions for the field offices when requested by the Procurement manager.
  • Follow up on telecommunications part related to the staff (mobile devices, sim cards, invoices...etc.).
  • IMP (the INTERSOS web platform for managing the procurement process, the Assets and the users that can access it) focal point with the HQ IT department.
  • Perform any other duties as assigned by the supervisor.

Accountability:

  • Ensure maintaining high confidentiality of information, up to date documents, including processes and verification.

POSITION REQUIREMENTS

Education

  • Bachelor's degree in Computer Sciences or equivalent.

Professional and personal requirements

  • At least 2  years  of  professional  experience  in  IT  position;  previous  experience  in international organizations is an asset;
  • Previous experience and/or background in logistic is an advantage
  • Strong organizational skills and ability to manage efficiently multiple priorities, deadlines and tasks with attention to details;
  • Strong communication and reporting skills;
  • Excellent team working skills and ability to work in a multicultural environment and under pressure;
  • Strong interpersonal and intercultural skills;
  • Ability to work under high pressure; 
  • Strong understanding of the humanitarian emergency operating context, the humanitarian system and its flexibility, donors and their high demanding, security and financial management in humanitarian context;
  • Able to work independently;
  • Ability to communicate effectively with variety of people, and express oneself in a clear and concise way;
  • Readiness to commit and adhere to the values, mission and vision of INTERSOS.
