Job Description Position: Manager - Administration


Reporting to: Human Capital & Admin Manager

Job Grade: Open


Job Purpose:
• To manage and oversee the entire administrative functions including the fleet and facility management by ensuring high quality of service delivery is exhibited thru team effort in the given time frame. Execute best Administration practices and promote systematic and problem solving methods.

Job responsibilities:

1. Establish & implement administration policies and procedures and ensure its administration at all the location in the company, by adopting in best administrative practices.

2. Monitor and upkeep the facility related maintenance and housekeeping functions at all the locations of the company.

3. Manage the fleet operations; ensure all company vehicles are maintained in excellent working condition, and take care of related ancillary services of company fleet.

4. Handle, coordinate and take charge of all the insurance requirements of the organization like, employee, vehicle, and other insurance which the company deals in.

5. Over see the office administration, front office, stationery, and seating and space management.

6. Coordinate, negotiate and liaise with internal and external agencies and ensure smooth dealing with govt. authorities like Etisalat & DEWA, EHS, for admin related work of the company.

7. Ensure the labor accommodation & Housekeeping related services of the organization is up to date by providing highest service level in the respective areas.

8. Mange the travel desk and ensure the travel visas are arranged in time for the employees planning to undertake visits to foreign countries for official business purpose.

9. Ensure the hotel booking requirements are undertaken in time and mange the requirements of official visitors in the company for official business purpose.
 
Desired Candidate's Profile
 
Profile Educational qualification:

- University graduate / Post Graduate.



Experience:


- 8 – 10 years of work experience in the area of Administration.


Special requirements:

- Experience in SAP ( HR)


Competencies required:

- Hard core individual who can be very strong but also understand the sensitivities of the people in the organization.
- Able to provide leadership in the area of expertise he/she is performing and be able to demonstrate by leading the discussions and convincing the stakeholders.
- Team worker.
- Able to collaborate effectively with cross functional teams.
- Ability to understand and articulate the strategic value of integrated Talent Management processes with strong business acumen.
- Strong writing skills including the ability to synthesize information into clear, concise messages both for detailed analytical reports and executive summaries.
- Effective verbal communication including the ability to relate well with others and ability to adapt style as needed.
- Ability to work independently, work with a remote team (overseas offices), think creatively, manage own time, and take initiative to drive projects.
